Organization, Members And Permissions: Invite members

Only the organization's master account can invite members. When inviting, you need to fill in the member's email address and assign it access to at least one subscribed product.

Check before inviting

Before sending an invitation, please confirm:

  • The current account is the target organization's primary account.
  • Membership slots are still available for the Organizational package.
  • The invited email address is correct and can receive emails.
  • Products that members need access to have been identified.
  • It has been determined which products need to be activated for members; the device fingerprint adopts read-write permissions in the first phase.

Membership quota is determined by the organization's current package. Whether joined members and members to be activated jointly occupy the quota shall be subject to the console display and package rules. The current design is verified based on the total number of members that have been created or invited.

Open the invitation pop-up window

  1. Log in to the Geelab console.
  2. Switch to the target organization.
  3. Enter Member Management or Team Management.
  4. Click Invite Members in the upper right corner of the page.

If the membership quota has been exhausted, the console will prevent further invitations and prompt you to contact sales to upgrade the package.

Fill in your email address and product permissions

In the invitation pop-up window:

  1. Enter the invitee’s email address.
  2. Select at least one product in the product list.
  3. Enable or close corresponding product permissions for members; the fingerprint permissions for the first phase of device are read and write.
  4. After checking the information, click Send Invitation.

The product list is dynamically displayed based on the products activated by the current organization. Products that are not activated by the organization should not be allowed to be assigned permissions.

The email address should be the email address where the invitee actually logs into Geelab. It is not recommended to forward the invitation link through other channels after sending it, because the link is bound to the specified email address and invitation record.

Limitations when sending invitations

The system will verify:

Organization membership quota

If the number of members in the organization's current package is full, the invitation will not be sent. The organization owner needs to delete invitations or members that are no longer in use and need to be activated, or upgrade the package.

Number of global organizations

If the global account corresponding to the target email address has joined 10 organizations, the invitation will not be sent. This restriction applies to the invited account, not the inviting organization.

Email and duplicate relationships

The system should also check:

  • Whether the email format is correct.
  • Whether the user is already a member of the current organization.
  • Whether the current organization has a valid invitation to be activated for this email address.
  • Whether the inviter still has operating permissions.

After sending successfully, the member will appear in the Members to be activated list.

New user activation process

If the invited email address has not been registered with Geelab, the system will send a new user activation email.

New user operation process:

  1. Open the invitation email.
  2. Click Activate account now and join the team.
  3. Confirm the organization name and inviter on the activation page.
  4. Fill in your name.
  5. Set and confirm the login password.
  6. Click Activate and log in.
  7. The system creates a global account, establishes organizational membership, and enters the console. After successful activation, the invitation link becomes invalid immediately and cannot be reused.

Registered user accepts invitation

If the email address is already registered with Geelab, the invitation email will prompt the user to use an existing account to join the organization.

The user is not currently logged in

  1. Click Accept invitation and join the team in the email.
  2. Enter the original login password corresponding to the email address to complete the identity verification.
  3. The system checks the invitation and organization relationship status.
  4. After successful verification, establish membership relationship and enter the target organization.

The user is currently logged in and the account matches

The system can directly display the joining confirmation page. Membership is established after user confirmation without re-creating a password.

The current login account does not match the invitation email address

The system should not bind the invitation to the current wrong account. The user needs to log out of the current account, log in using the invited email address, and then reopen the invitation link.

Invitation links are valid for 72 hours and follow the one-time use principle.

Manage invitations to be activated

The organization owner can be viewed in the Members to be activated Tab:

  • Invited email address.
  • Product permissions assigned.
  • Invite people.
  • Invitation time or expiration time.
  • Current invitation status.

The following actions are recommended:

  • Resend the invitation.
  • Withdraw invitation.
  • Modify permissions and re-invite.

Once the invitation is revoked, the original link will become invalid immediately. When resending, a new invitation record or a new Token should be generated, and the 72-hour validity period should be recalculated.

Current Design Reminder The original product documentation describes "Revoke Invitation" as both an existing process and a subsequent capability. Before officially releasing this document, you need to confirm whether the current version supports undo and resend; operations that are not online should not appear in the customer guide.
